LAB ASSISTANTS RESPONSIBILITIES

Responsibilities Regarding Students and Faculty

Ensure that all students and faculty abide by the regulations for using the Lab. These include making sure that all:

  • Sign in and out each time they use the Labs.

  • No Food or Beverages or cell phones allowed in the Labs.

  • Respect others who are using the Lab, by keeping noise to a minimum.

  • Respect the equipment by handling it carefully.

  • Provide students and faculty with application CD's or floppy disks as needed; see that these items are checked back in before leaving the Labs. Faculty must not remove these items from the Labs, unless they have written permission from Laura.

Assist students in their use of all equipment and software. However, it is not your responsibility to fix any errors their assignments may have, in this case they must see their instructors.

Responsibilities Regarding the Computer Labs

Arrive on time for your shifts (at least 5 minutes before your shift starts, especially those of you opening in the mornings). If an emergency prevents you from working your shift, notify Laura as soon as possible. If you cannot contact Laura then notify Roselle.

At the Start of your shift:

  • Fill out the top part of the Sign-In Log for each new shift.

  • Sign your timesheet at the beginning of your shift, and out at the end of your shift.

  • Put on your name tag and Post your name on the "Lab Assistant on Duty" board.

  • Login to the computer at the LA desk and check your e-mail. Respond promptly to all requests made by Laura, Roselle, or the IT staff.

During your shift:

  • Be sure all users are signing in and out of the lab.

  • Check that all materials borrowed are returned by students and faculty before leaving the lab.

  • Keep labs neat and organized during your shifts.

  • Make sure printer trays are filled with paper, replace paper or cartridges when needed.

Report computer problems to Laura via e-mail when they occur, include the following:

  • The error message that appears on the screen or what the computer is doing/not doing.

  • What the person was doing when the error occurred.

  • The name of the computer and which lab.

Students requesting a computer account or a forgotten one, MUST fill out the appropriate on-line Request form. DO NOT BRING ANYONE TO LAURA.

Near the end of your shift:

  • Straighten up the Labs (push in chairs, hang up / put away headphones, throw out any paper lying a round the computers, etc.).

  • Check paper supply

Opening the Labs for the Day: (Arrive at least 5 minutes before)
4205 Computer Lab

  1. Turn on lights and ceiling fans. A/C (when needed)

  2. Turn on Printers and Scanners

  3. Check all printers for paper

  4. Make sure Lab is organized

  5. Make sure Sign-In sheet is ready for the day.

Computer Science and Education Labs

  1. Leave Sign-In book opened, on the instructors desk

  2. Turn on Printers and Scanners

  3. Check all printers for paper

  4. Make sure Lab is organized

Closing the Labs for the Day

  • Remind people that the lab is closing 15 minutes before it is scheduled to close.

  • Make sure all users have logged off the computers.

  • Straighten up the Lab

  • Turn off all ceiling fans and A/C (Blowers, window units or wall units)

  • Close any windows

  • Turn off lights

Note: DO NOT turn off the computer power switches in 4205.

Telephone Use in the Labs

  • To be used for emergency purposes only. The extension for the security guard (3289) is mounted on the telephone in all Labs for your reference. If you can not reach the security guard, please dial 911.

  • Not to be used by students to take or make calls. This is to be strictly enforced.

  • Not to be used by you to take or make personal calls. We get a statement every month with the date, time, length and location for all incoming and outgoing phone calls.

Telephone Messages

Answer the telephone by saying:

  • 4205 Computer Lab, <Your Name> speaking.

If the telephone rings in the Lab and the party calling is asking for an IT Support Services Staff member, provide the person with the extension 2222 and transfer the call.

Calling Regarding an Absence

To reach Laura please use the following telephone number:

  • 973-618-3325 or dial 4528.

If you are not able to work your shift, please call Laura as soon as you can, make sure you find someone to replace your shift.

Lab or Network Emergency

If a serious problem occurs in the Lab call Laura at 618-3325 or dial 4528.
If you are unable to reach Laura, call Linda at 618-3530

COMPUTER LAB JOBS

Daily Statistic
Total the number of students and minutes they used the Lab each day.

Monthly Statistics
Using the information from the daily statistics you will print out spreadsheets and graphs on the Laser printer.

Create Lab Signs
Create any necessary Lab Signs for the Lab.

Forms
Check and replenish log book sign in/out sheets as necessary.

Paper
Check paper supply for 4205, 4223, 3205, 3207, 6305, and 6203.

Hard Drive Maintenance
If the C Drive in the 4205 Computer Lab is full, please delete the User Profiles. See me for access.

Cleaning

Monitors: Use the Computer Screen Cleaner, to clean the monitors. Do this to every monitor at least once a week, but check regularly as well if needed.

White Board: First use the eraser to get off as much as possible. Then wipe with the special cleaner once a week Be sure to include the marker ledge!

Account Packets
Must be filed in Alphabetical Order in the appropriate drawers.

Lab Assistant Training

Logging in & Logging out of the Network:

A. Logon

  • At the initial sign on screen, press Ctrl + Alt + Delete to begin.
  • On the “Log On to Windows” screen, enter your User Name and your Password.
  • On the “Log On to” bar: select CALDWELL as a Domain Name.
    Click OK.

B. Logout

  • On the Task Bar, click on the Start button, and click Shut Down.
  • Select Log off (your user name).
  • Click OK.

New Users and/or New Passwords

When someone requests a NetID, direct them to the On-line NetID Request Form.

The Login Name and Password information can be ready for pickup within 2 or 3 working days, may be longer during the beginning of the semester.

* For new accounts
When the user comes to pickup their new NetID information, ask for Student ID

FAQ

Question #1: Laser Printer Problems!

Paper Jam?

  • Slowly remove the paper tray from the printer.

  • If the paper is stuck, carefully pull it out using two hands.

  • If that does not solve the problem, open the door on the back of the printer and check inside for paper. Carefully remove any paper and close the door.

  • To reset, open and shut the door on top of the printer. If that does not work turn the printer off and on.

Low Toner?

  • If you get a low toner message on the printer, tell Laura you need a replacement cartridge.

Question #2: How do I DOUBLE SPACE in MSWORD XP?

  • Place the cursor where you want it to double space and click once.

  • From the FORMAT menu, select PARAGRAPH.

  • In the LINE SPACING box, select DOUBLE.

  • Click OK to close the window.

Question #3: How do I INSERT PAGE NUMBERS in MSWORD XP?

  • Place the cursor where you want the number to be and click once.

  • From the INSERT menu, select PAGE NUMBERS.

  • In the PAGE NUMBERS screen, select your choice.

  • Click OK to close the window.

Question #4: How do I DELETE PAGE NUMBERS in MSWORD XP?

  • Place the cursor where you want to delete and click once.

  • From the VIEW menu, select HEADER and FOOTER.

  • In the HEADER and FOOTER screen, you can either select HEADER or FOOTER by clicking on the "Switch between Header and Footer: icon.

  • Highlight page number, and hit Delete key. Click OK

Question #5: How do I find a template to write a Resume?

  • Open MSWORD

  • From the FILE menu, select NEW

  • Click on the OTHER DOCUMENTS icon

  • Choose a resume template that you want to work with.

Question #6: How do I get onto the Internet?

On the Task Bar, click on:

  • START

  • PROGRAMS

  • INTERNET EXPLORER

Question #7: How do I Print just the TEXT on a Web Site?

  • In INTERNET EXPLORER, highlight the text that you want to print.

  • From the EDIT menu, select COPY

  • MINIMIZE the browsers screen

  • Open MSWORD

  • From the EDIT menu, select PASTE

  • From the FILE menu, select PRINT

Question #8: How do I Access my EMAIL?

  • Open the Web Browser (Internet Explorer)

  • Open the Home page, Current Students, Select Campus Mail

  • In the Log On Field, type your Logon Name <enter>

  • Tab down to type in Password

  • If the Home page doesn't come up, then type in https://mail.caldwell.edu

Question #9: How do I send a Link?

  • In the browser, select a link that you want to send.

  • On the Address Bar, Highlight you link

  • Right Click the mouse, select COPY

  • Open EMAIL

  • On the Message Box, Right Click the mouse, select PASTE

  • Click SEND

Question #10: How do I send an Attachment?

  • On the Email Message box, click on ATTACHMENTS

  • Click on BROWSE to open the file that you want to attach

  • Click on ADD ATTACHMENT

  • Click SEND

Question #11: I cannot Open an Attachment?

Due to some policy restrictions you will not be able to open any attachment with the following:

  • The extension file is .exe

  • Message: "The Attachment is not supported!"

Question #12: How Do I Download a File?

  • From any Browser go to: www.download.com

  • In the Search box enter any information that you want to search for

  • Follow the instructions on the screen

Question #13: How Do I Scan a Picture?

  • Computer PC-30 has a scanner

  • Place the picture face down on the scanner window

  • On the desktop double click the HP Precision Scan Pro icon

  • Click on the Preview Scan icon

  • From the Output Type menu, select True Color

For select part of an image:

  • Click the part

  • From the Scan menu, select SAVE AS in your select location

  • Click DONE

Question #14: How Do I Scan a Document?

  • Place the document facedown inside the scanner

  • Press or Select Scan

Question #15: How Do I Scan a Document to: FrontPage, Imaging, MS Outlook, Express, MS PowerPoint, MS Word, Paint, WordPad?

  • On the Desktop, double click on the HP Precision Scan Pro icon

  • From the Scan menu, select Scan To

  • Select your choice, then click Scan

  • Click Done

Question #16: How Do I Format a Disk?

  • Click the Start menu, select Disk Utilities, select Format Disk

  • Insert new disk to drive your media is in: and press Enter when ready...

Question #17: How Do I Copy a File from one Disk to another?

  • Open My Computer

  • Open Drive your media is in: (Source Disk)

  • Drag the file(s) that you want to copy to Data (Z:)

  • Close and take the Source Disk out of the selected Drive

  • Insert the Target Disk into same drive:

  • Drag the file(s) that you copied to Data (Z:) to the Target Disk

Question #18: How Do I Copy all Files from one Disk to another?

  • Click Start

  • Select Disk Utilities

  • Select Copy Disk

  • Insert Source Disk in Drive A:

  • press Enter when ready...

  • Follow the on screen instructions

Question #19: How Do I SCAN my disk to check for a VIRUS?

  • Click Start

  • Select Programs/Sophos Anti-virus

  • Select set up a new scan

  • Choose drive your media is in to scan

  • Save and Run scan

If the Virus Scan doesn't find any virus on your disk, then you will get a message:

  • "No infected items were found"

  • Close the window to exit the program

Question #20: What do I do when my computer FREEZES?

  • Hold down the CTRL + ALT + DELETE keys at the same time

  • Highlight the Program that has Not Responding listed next to it.

  • Click on End Task

  • Depending on the Program that is Not Responding you may receive a second

  • End Task prompt

  • Select End Now
